Terms & Conditions of Installation

Effective July 2025 – United Kingdom & Republic of Ireland

1. Introduction

These Terms and Conditions apply to all services, quotations, and installations carried out by Radiant Flooring Systems Ltd (“the Company”). By accepting our quotation, scheduling a job, or permitting work to commence, the client (“Customer”) agrees to be bound by these Terms.

2. Scope of Services

Radiant Flooring Systems Ltd provides a range of floor heating and floor preparation services, including but not limited to:

  • Traditional and retrofit underfloor heating installation
  • Floor milling into existing concrete or screed substrates
  • New build underfloor heating solutions
  • Latex floor levelling services for preparation prior to or following installation

The scope of each project will be defined in a written quotation and/or specification document. Any changes to the agreed scope must be confirmed in writing and may result in adjusted pricing or timelines.

3. Before Installation

3.1 Site Preparation by Customer

  • The Customer must ensure that all areas where work is to be performed are clear of furniture, floor coverings, debris, and other obstructions.
  • Subfloors must be dry, level, and accessible. Any issues affecting access or substrate suitability must be resolved prior to our arrival.
  • Electrical and water supplies must be available on-site and functional.

3.2 Structural Suitability

  • For retrofit or milling projects, the Customer is responsible for confirming that existing floors are structurally sound.
  • If structural issues are identified, the Company reserves the right to delay or halt installation until remedial work is completed.

3.3 Access and Permissions

  • The Customer must ensure that all necessary permissions (including landlord or building management approval) are in place prior to the start of the works.
  • Access routes to the work area must be safe, unobstructed, and compliant with health and safety regulations.

3.4 Delays and Rescheduling

  • Cancellations or postponements made within 5 working days of the agreed start date may incur charges.
  • Any delay caused by site readiness or third-party contractors may result in additional mobilisation fees or labour charges.
4. During Installation

4.1 Health and Safety

  • The Company complies with all applicable health and safety legislation.
  • Customers must ensure that no unauthorised persons (including pets or children) are allowed in the work area during installation.

4.2 Working Conditions

  • The installation area must be protected from adverse weather conditions. For internal works, areas should be weathertight, dry, and heated if required.
  • Dust, noise, and vibration are unavoidable by-products of milling and installation. The Company will take reasonable measures to contain and minimise disruption.

4.3 Third-Party Trades

  • If other contractors are present on-site, the Customer must coordinate access and schedule to avoid conflict or disruption.
  • The Company is not liable for delays or rework caused by the actions or omissions of other contractors.

4.4 Variations and Site Conditions

  • If unforeseen conditions arise (e.g. subfloor damage, buried services, insulation defects), the Company will notify the Customer and may adjust the quote accordingly.
  • In some cases, work may be paused until written approval is given to proceed with additional measures.
5. After Installation

5.1 Handover

  • The Customer will be provided with operational guidance, as-built drawings (where applicable), and product documentation upon completion.
  • It is the Customer’s responsibility to ensure a certified electrician connects the system to the power supply if this service is not included in the quotation.

5.2 Commissioning

  • The underfloor heating system must not be turned on or used for a minimum of 7 days after installation to allow adhesives, screeds, or latex to fully cure.
  • Radiant Flooring Systems Ltd will not be held liable for damages caused by early operation or improper use.

5.3 Cleaning and Protection

  • The Company will remove major installation debris but is not responsible for deep cleaning or removal of fine dust unless otherwise agreed.
  • The Customer must protect the installed system and floor from damage by follow-on trades.
6. Warranties

6.1 Product Warranty
• All underfloor heating components are covered by the manufacturer’s warranty, typically 10 years or as specified.
• Any claims must be submitted in accordance with the manufacturer’s process and within the warranty period.


6.2 Installation Warranty
• A 24-month workmanship warranty applies to all installations provided they are used in accordance with the system specifications.


6.3 Exclusions
• Warranties are void if damage is caused by third-party trades, unauthorised alterations, misuse, or failure to follow curing or operation instructions.

7. Liability

• The Company’s total liability is limited to the value of the contract.
• Radiant Flooring Systems Ltd will not be liable for consequential loss, including but not limited to, loss of income, business disruption, or damage caused by delays.

8. Payment Terms

• A deposit (typically 50%) is due to secure the booking.
• The remaining balance is payable upon completion of installation or as otherwise stated in the invoice.
• Late payments may incur interest at 4% above the Bank of England base rate.

9. Force Majeure

The Company shall not be held liable for failure to perform due to circumstances beyond its reasonable control, including but not limited to extreme weather, strikes, supply shortages, or acts of government.

10. Cancellations & Refunds

• Cancellations must be made in writing.
• Cancellation charges may apply depending on the timing relative to the scheduled start date.
• Refunds on products are subject to manufacturer return policies and restocking fees.

11. Governing Law

These Terms are governed by the laws of England and Wales. Disputes arising from this agreement will be subject to the exclusive jurisdiction of the English courts.

12. Acceptance

By instructing the Company to proceed, the Customer agrees to be bound by these Terms and Conditions.
